
Six Step Systems Audit for Business: That Was Easy!
Make it easy – because, like your mother said (and so did Brian Tracy) – “if it was easy then everyone would do it!”
Doesn’t it make simple marketing sense for everyone to want to do “it” – if “it” means buying from you?
Think of making “it” easy for your customers as why you are in business – after all, you are the person who is doing the hard part for them, right?
That was easy!
It’s Staples marketing slogan – and it is also a great focalpoint. What if your main goal for everything you do was to make it easier?
Make the production easy.
Make shipping easy.
Make ordering easy.
Make sales easy.
Make training easy.
Make hiring easy.
Make bookkeeping easy.
How the heck do you make everything easy?
Systems. It’s all about systems. As business coaches we know about systems because the action step of nearly every coaching situation involves the implementation or repair of a system – to make things easy.
Here are six simple steps to performing a system audit for your business:
1. The obvious first step is to look at every aspect of your business and sort it into categories – sales, production, operations, etc.
2. Repeat this step as often as you need to in order to create sub-categories – until you have peeled every process in business down to its core – whether it’s hiring, marketing, purchasing or shipping – you need to be aware of everything as a bare bones procedure.
3. Record each procedure step-by-step: now you have a system.
4. Take a critical eyeball to each system: Where is the waste? What would make it faster? What would make it less confusing? How can it be made easier for the people involved, and how can these benefits ultimately improve on the customer’s experience? Remember not to depend on your own critique – ask others for feedback, especially customers and those using the system.
5. Find ways to integrate systems. An example could be accounting and shipping, are invoices getting lost? How can the customer experience be improved?
6. This may sound redundant but, put a system in place to audit systems on a regular basis.
